ABOUT THE JOB - REGIONAL TEAM LEAD, PUMP OE

 

Location:  This role can work from our Houston, TX or our Burlington, Ontario location

Work Environment: Monday – Friday

Work Schedule/Hours:  Normal Business Hours

 

 Job Summary

 

The role will manage the local tendering teams who will assist Customers to identify / verify their requirements and specifications and will prepare competitive costings / quotations / tenders that are both technically and commercially accurate.  The team will interface with both Customers and internal stakeholders to provide support and solutions that meet the needs and expectations of Customers, strengthening relationships and positively impacting the opportunity to win orders. Oversees and provides reporting on key metrics and performance criteria of the tendering teams, ensuring information is accurate, understood and communicated.

 

Principle Duties and Responsibilities:

 

Tendering Management

  • Oversees the coordination of the bid process across the product lines to ensure the Inquiry to Order (ITO) activities occur on time and with high quality from proposal receipt to execution hand-over
  • Ensures continuous and accurate visibility of the Tendering front log and it is actively managed
  • Ensures Tendering output is effectively managed, such as:
    • Preparation and delivery of project proposal deliverables; including bid packages in support of the commercial bid process
    • Review and evaluate bids, proposals, and vendor agreements in coordination with Advanced Procurement for acceptability of customer specifications, price, and delivery times
    • Development of budgets, schedules, costs for each project proposal
    • Review and evaluate detailed technical specifications for packaged equipment.  Extracts applicable client requirements and translates / communicates specifications to subcontractors, sub-vendors and internal organization
    • Coordinates with Projects team to ensure seamless transition of won orders
    • Liaise with the Sales team on customer needs, scope, and timing

 

Tendering Staff Management

  • Ensures staff are effectively loaded with proposals, monitors department workloads, uses capacity planning to shift resources as required to meet company goals and strategic objectives
  • Performs people and performance management tasks associated with direct reports
  • Monitors and measures performance, direct training needs as required

 

Tendering Quality and Delivery

  • Oversees the tendering output of proposals to ensure that they are delivered in a high quality, timely fashion in support of the Tendering Policies and Procedures (ITO - Inquiry to Order)
  • Ensures deadlines and assigns responsibilities are delivered within the required timeframe, and monitors and summarizes progress of each project proposal opportunity 

 

Metrics and Reporting

  • Works with the Global Commercial Operations Manager to ensure the performance of the tendering teams key metrics and reporting are understood and communicated

 

Leadership

  • Holds the tendering team and other functional groups accountable to meet project commitments
  • Develops the team and provides direction assisting where necessary to meet goals

 

Ensures Process

  • Actively pursues Continuous Improvement opportunities and puts them in place in order to increase efficiency and quality of the proposals
  • Promotes the use of standardized process, tools and reporting, ensures discipline to utilize
  • Oversees the hand-over process from Tendering to projects to ensure deliverables can be met

 

Continuous Improvement

  • Oversees and creates Lessons Learned process within the teams. Promotes the practice and ensures that all relevant lessons are captured, communicated and resolved

 

 

 Knowledge, Skills, and Abilities:

 

  • Proven experience in tendering and proposals in an engineering context
  • Knowledge and practice of the overall project tender and delivery concepts of opportunity development, quoting, negotiation, proposal, win-order and hand over
  • Ability to create and manage processes, knowledge of best practices within proposal and bid management
  • Ability to network with his (her) colleagues and to have a good relationship with customers, ability to lead a network of resources in a fast-paced environment
  • Managing the execution of contractual agreements with customers and suppliers to ensure we are compliant with the stated terms and conditions throughout the duration of the project
  • Using information about activities and deliverables to determine when activities and events are to occur
  • Seasoned Change management skilled individual who has ability to use various techniques to promote change in established groups
  • Identifying, securing, and assigning resources to deliver quotes within scope and timelines
  • Reviewing and reporting on all aspects of tendering through the timely and accurate collection of data and dissemination of proposal information to stakeholders
  • Strong team player, results driven, customer focused
  • Excellent interpersonal, communication, influence and presentation skills
  • Ability to write reports, business correspondence and process documentation
  • Ability to effectively present information and respond to questions from groups of managers, clients and customers

 

 

 Education and Experience:

 

  • Bachelor’s degree in Business, Marketing, Engineering or related field or commensurate experience in a Commercial/Tendering organization required
  • Experience in managing complex proposals in an Industrial environment
  • Experience of working in a multi-national organization with diverse commercial teams preferred
  • Experience in the O&G, Power, Industrial & Water markets
  • Proficiency in managing direct reporting teams
