GENERAL SUMMARY

Project Expeditor plays a vital role in supporting project managers and ensuring the successful execution of projects within the manufacturing and oil & gas sectors. Working closely with project managers, this role provides essential support in project planning, execution, and monitoring, serving as a critical link between clients, EPC contractors, and internal teams. Responsibilities include overseeing production schedules, tracking project timelines, coordinating deliveries, managing vendor relationships, and addressing operational issues that may impact project outcomes. The Project Coordinator ensures timely delivery of major equipment, facilitates communication with stakeholders, and proactively resolves potential bottlenecks. Additionally, the role involves comprehensive documentation, reporting, and cross-functional collaboration across engineering, manufacturing, logistics, procurement, and quality assurance teams.

This position is ideal for a highly organized individual with strong problem-solving skills and a background in project coordination, vendor management, or supply chain management. Occasional travel may be required to vendor facilities and company locations to monitor progress and ensure alignment with project goals.

 

 

PRINCIPLE DUTIES AND RESPONSIBILITIES

  • Support to Project Managers:

Work closely with the Project Managers based in our facilities, providing critical support in project planning, execution, and monitoring. You will serve as a vital link between the client, the EPC contractor, and the internal teams to ensure that all project tasks are completed on time and within scope. Your role will include administrative support, managing project documentation, and facilitating the resolution of day-to-day issues.

  • Monitoring & Coordination:

Oversee the tracking of production schedules, project timelines, and key milestones related to the delivery of pumps from different facilities. Ensure that both facilities are equipped with the necessary resources and support to meet delivery deadlines. You will be responsible for ensuring that no part of the production process is delayed and that all interdependencies are well-coordinated.

  • Issue Resolution:

Act as the first line of defense in identifying potential project bottlenecks or operational challenges. You will collaborate with Project Managers and other team members to address these issues swiftly and efficiently, ensuring that they do not impact the overall project timeline. Your proactive approach to problem-solving will be crucial in minimizing risks and keeping the project on track.

  • Client Support:

Establish and maintain clear communication lines with the client and EPC contractor, ensuring that all client requirements and expectations are met. You will be responsible for conveying project updates to the client, addressing any concerns or grievances, and ensuring that their feedback is appropriately escalated to Project Managers. This will include preparing reports, attending client meetings, and ensuring customer satisfaction at all stages of the project.

  • Vendor Management:

A key responsibility of this role is overseeing vendor management for the major equipment required for the project. You will coordinate with sub-vendors, ensuring the timely execution of orders for major components critical to the success of the project. This includes managing procurement schedules, overseeing the quality of equipment supplied, and ensuring that sub-vendors meet the agreed-upon timelines. When necessary, you will conduct expediting visits to sub-vendor facilities to monitor progress, resolve potential delays, and ensure alignment with project requirements.

  • Coordination of Deliveries:

Ensure that the coordination of deliveries from both our facilities in India and Glasgow is managed efficiently. This will involve liaising with logistics teams to track shipments, handle any potential shipping or customs issues, and ensure that products arrive in line with the project schedule. Your oversight will help avoid delays and ensure that all equipment is delivered to the client within the agreed timelines.

  • Documentation & Reporting:

Maintain comprehensive project documentation, including schedules, reports, and communication logs. You will be responsible for preparing and distributing regular progress reports to both internal teams and external stakeholders, ensuring that everyone is kept up-to-date on the project’s status. Clear and concise documentation is essential for effective project management, and your role will be critical in ensuring transparency and accountability.

  • Cross-functional Collaboration:

Work in collaboration with teams across multiple departments, including engineering, manufacturing, logistics, procurement, and quality assurance, to ensure the seamless execution of the project. Your ability to coordinate cross-functional activities will be key in driving the project towards successful completion.

 

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Strong organizational skills with a proven ability to manage multiple tasks, projects, and deadlines simultaneously.
  • Excellent communication and negotiation skills, with experience working with international teams and vendors.
  • Demonstrated experience in managing vendor relationships, including tracking procurement and expediting visits.
  • Familiarity with project management tools and software.
  • Knowledge of pump manufacturing processes, supply chain management, or experience in similar industries is an advantage.
  • Ability to work effectively across different time zones and with teams from diverse cultural backgrounds.
  • Strong problem-solving skills and the ability to anticipate project risks and manage issues proactively.

 

Additional Information:

  • Occasional travel to vendor facilities and company & vendor locations may be required.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in engineering, Business, Supply Chain Management, or a related field
  • 3-5 years of experience in project coordination, vendor management, or a related role within the oil & gas or manufacturing sectors

  • Own visa sponsorship
  • Willing to work on a 12-month contract
